Privacy Policy

Last updated: 16 September 2026

This policy explains what personal data Fun Technology Innovation Inc., a company incorporated in Taiwan (Republic of China) and trading as FunTech Innovation ("we"), collects when you use Innex Sense, what we deliberately do not collect, who else processes it, and what you can ask us to do about it.

If you use Innex Sense because your employer provides it, your employer is the controller of the meeting content and we act as a processor on their instructions. For account and billing data we are the controller.

1. The short version

Your recordings, transcripts and summaries are stored on your own computers, encrypted, and we do not keep copies. Voice profiles and face data are sent directly between your own computers and are never written to our servers in any form, not even encrypted.

What we hold is the account and organisation information needed to run the service, and a meter of how many minutes were processed — the duration, not the content.

2. What we collect and why

DataWhyBasis
Email address, name, password (hashed), preferred language To create and secure your account and to contact you about it Performance of a contract
Organisation name, your role, who invited whom To group accounts into a company and enforce permissions Performance of a contract
Registered computers: name, identifier, application version, online status, update status To let administrators see and manage the company's installations Performance of a contract
Meeting reservations: topic, time, duration, which PC, optional meeting link To schedule a recording onto a meeting-room PC Performance of a contract
Summary templates you write To share them across your organisation Performance of a contract
Usage records: how many seconds were processed, by which account, and whether it was a transcription or a summary To meter quotas and show your organisation what it has used. No transcript or audio is stored with these records. Performance of a contract
Audit log: who changed a role, removed a member, deleted a device, requested an encryption key, and when Security, and so your own IT can review it Legitimate interests (security)
Billing identifiers issued by Paddle, your plan, and your billing period To know what you are entitled to Performance of a contract
Server logs: IP address, timestamps, error details To keep the service working and to investigate abuse Legitimate interests (security, reliability)

We do not collect your card details. Payment information is entered into a checkout operated by Paddle and is never seen by or transmitted to us. We receive only an identifier, the plan and the outcome.

3. What we deliberately do not hold

Recordings, transcripts and summaries

These are written to the computers you run the application on and encrypted at rest with a key unique to your organisation. That key is derived when requested and is not itself stored in our database, so a breach of our database would not yield it. We have no copy of the content and, as stated in the Terms, we cannot recover it for you.

Voice profiles, face data and your contact list

Biometric identifiers deserve a plainer statement than most policies give them. When several of your computers share a speaker's voice profile or face data so that the same person is recognised on each of them, that data is broadcast directly from one of your computers to another over an encrypted, company-private channel, while both are online. It is encrypted by the sending computer before it leaves, and it is not written to any database or storage of ours at any point along the way.

The trade-off is worth knowing: because nothing is stored in between, two computers must be online at the same time for a profile to reach the second one. The application provides an encrypted manual export and import as a backup for this reason.

Enrolling someone's voice or face is a decision your organisation makes and must have consent for. See section 9.

4. Meeting audio while it is being processed

Transcription and summarisation are not performed on your computer. While a meeting is being processed:

Section 6 names those providers. Our contracts with them prohibit using your content to train their models. Neither the audio nor the transcript passes through any storage of ours; our server acts as an authenticated relay that checks your quota and records the duration.

5. Where data is held

Our database, authentication and server functions run on managed cloud infrastructure located in the eastern United States. The web dashboard is served from a global content delivery network. Our processing providers operate in the United States and the European Union.

This means that personal data we hold is transferred to and stored in the United States, whichever country you are in. Where those transfers are from the European Economic Area, the United Kingdom or Switzerland, they rely on the European Commission's Standard Contractual Clauses together with the safeguards described in section 11. Note that your meeting recordings, transcripts and summaries are not part of this: they never reach our servers at all, and stay on the computers you run the application on.

6. Who else processes your data

We use a small number of specialist providers to run the Service. They act on our instructions under written contracts, and may use your data only to provide their service to us — not for their own purposes. Below are the categories of recipient and exactly what each one receives.

Category of recipientWhat it doesWhat it receives
Cloud infrastructure providerDatabase, authentication, server functionsAll account and organisation data in section 2
Content delivery providerHosting and delivery of the web dashboardIP address, request metadata
Speech processing providerSpeech-to-text and speaker separationMeeting audio, for the duration of processing
AI summarisation providerTurning a transcript into a summaryThe transcript being summarised
Voice command providerRecognising short spoken commands to the applicationA few seconds of command audio
Email delivery providerSending invitation and notification emailRecipient email address and message
PaddlePayments, invoicing, tax — our merchant of recordBilling name, email, country, payment details (entered directly into Paddle)

Our payment provider is named because it is the seller of record for your order and will appear on your statement and your invoice. For the others we give the category rather than the company, as data protection law permits. If you are a business customer and need the named list — for a vendor assessment, a records-of-processing entry or your own privacy notice — ask us at support@funtechinnovation.com and we will provide it under our Data Processing Agreement.

We do not sell personal data, and we do not share it with advertisers. We disclose it otherwise only where the law requires it, and where we may lawfully tell you, we will.

7. Cookies and tracking

This website and the dashboard use browser storage only for things that make the product work: keeping you signed in, remembering your language, and carrying a checkout between pages. We do not use advertising cookies and we do not run third-party analytics or tracking on these pages. Our payment provider's checkout sets its own cookies for payment and fraud prevention, described in that provider's privacy notice.

8. How long we keep it

Deleting your account removes it from our systems. Deleting the last account in an organisation deletes the organisation and its data. Both are irreversible. Audit and billing records that we must keep are retained with the actor's email preserved, because an audit trail that anonymises itself when someone leaves is not an audit trail.

9. Recording and biometric consent

If you are an employer deploying this software, obtaining consent to record meetings and to enrol voice or face data is your obligation, not ours. In many jurisdictions biometric data requires explicit, informed, freely given consent and carries additional duties. We provide the technical means; we are not in a position to obtain consent from the people in your meetings, and we do not do so.

10. Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, to correct it, to have it erased, to restrict or object to our processing, to receive it in a portable format, and to withdraw consent where processing relies on it. You may also complain to your data protection authority.

Write to support@funtechinnovation.com and we will respond within 30 days. We may need to verify your identity first. If your employer provides the software, we will usually refer a request about meeting content to them, since they control it — and in most cases the content is on their computers, not ours, so they are the only ones who can act on it.

11. Security

Access to data is scoped to your organisation at the database layer, not merely in the user interface. Content on your computers is encrypted at rest with a per-organisation key. Traffic is encrypted in transit. Administrative actions are recorded in an audit log your own IT can read. Payment card details never reach our systems.

No system is perfectly secure. If a breach affects your personal data and the law requires notification, we will notify you and the relevant authority without undue delay.

12. Children

The Service is for business use. It is not directed at anyone under 18 and we do not knowingly collect their personal data. If you believe we have, contact us and we will delete it.

13. Changes

We will update this policy when our processing changes. The date at the top shows the current version, and we will notify account owners by email before a material change takes effect.
